SendNow (“we”, “us”, “our”) is a secure document sharing and analytics platform operated from the European Union. Our services are designed for financial professionals, sales teams, and businesses that need to share sensitive documents with full control and visibility.

2. Data We Collect

2.1 Account Data

When you create an account, we collect your email address and name. If you subscribe to a paid plan, our payment processor (Dodo Payments) handles your billing information — we never store credit card numbers on our servers.

2.2 Document Data

We store files you upload to share through SendNow. Documents are encrypted at rest using AES-256 encryption. We do not access, read, analyze, or share the contents of your documents.

2.3 Visitor Analytics

When someone views a document you share, we collect:

• Email address (if email verification is enabled by the sender)
• IP address and approximate location
• Device type and browser information
• Pages viewed, time spent per page, and completion rate
• Return visit timestamps

This analytics data is provided exclusively to the document sender. We do not sell, share, or use this data for advertising.

2.4 Cookies

We use only essential session cookies required to operate the platform. We do not use marketing cookies, advertising pixels, or third-party tracking scripts. Marketing cookies are off by default and are never enabled.

3. Legal Basis for Processing (GDPR Article 6)

• Contract Performance (Art. 6(1)(b)): We process your account and document data to provide the service you signed up for.
• Legitimate Interest (Art. 6(1)(f)): We process visitor analytics to deliver the core feature of our product — document engagement visibility — to our users.
• Consent (Art. 6(1)(a)): Where required (e.g., optional communications), we will ask for your explicit consent.

4. How We Use Your Data

• To provide, maintain, and improve the SendNow platform
• To deliver document analytics to you (the sender)
• To process payments and manage subscriptions
• To send essential service communications (e.g., password resets, security alerts)
• To respond to support requests

We never sell your data. We never share your data with advertisers. We never use your documents for AI training or machine learning.

5. Data Processors

We use a minimal set of trusted third-party processors:

• Amazon Web Services (AWS) — Infrastructure and hosting (eu-central-1, Frankfurt)
• Dodo Payments — Payment processing
• Resend — Transactional email delivery

All processors are GDPR-compliant with appropriate Data Processing Agreements in place.

6. Data Retention

We retain your data only as long as your account is active. When you delete a document, it is permanently removed from all our servers immediately — there are no backup copies, no recovery period, no archive. When you delete, it is gone.

If you close your account, all your data (documents, analytics, account information) is permanently deleted within 30 days.

7. Your Rights (GDPR Articles 15–22)

Under the General Data Protection Regulation, you have the right to:

• Access — Request a copy of all personal data we hold about you
• Rectification — Correct inaccurate personal data
• Erasure — Request deletion of your personal data (“right to be forgotten”)
• Portability — Receive your data in a structured, machine-readable format
• Restriction — Restrict processing of your data in certain circumstances
• Objection — Object to processing based on legitimate interest
• Withdraw Consent — Where processing is based on consent, withdraw it at any time

8. International Data Transfers

Your data is processed and stored within the European Union (AWS Frankfurt, eu-central-1). We do not transfer your data outside the EU/EEA unless required by a processor with appropriate safeguards (Standard Contractual Clauses).

9. Security

We implement industry-standard security measures including:

• AES-256 encryption for all documents at rest
• TLS 1.3 encryption for all data in transit
• AWS secured infrastructure with enterprise-grade physical security
• No marketing cookies or third-party trackers
• Regular security audits and monitoring
• Permanent, unrecoverable deletion when you remove files

10. Children

SendNow is not intended for users under 18 years of age. We do not knowingly collect personal data from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated via email. The “Last updated” date at the top of this page indicates when the policy was last revised.
