AI Data Room for Commercial Real Estate: Offering Rooms You Run by Asking (2026)

A commercial property offering has a predictable shape: a brochure everyone can see, financials only qualified buyers see, and a bid deadline when everything should close. You can run that with SendNow connected to Claude or ChatGPT: build a tiered offering room by prompt, give each buyer a traceable link, upload large drawings through a one-time link, and set everything to expire on the deadline. Data rooms start at $19/month, and you can connect the assistant on any plan. This is a workflow guide, not legal advice.
AI Data Room for Commercial Real Estate: Offering Rooms You Run by Asking (2026)
What goes into a commercial real estate offering room?
| Section | Typical files | Who should see it |
|---|---|---|
| Offering | Offering memorandum, property brochure | Anyone who registers |
| Financials | Rent roll, operating statements | Qualified buyers under NDA |
| Property | Floor plans, CAD drawings, environmental report, surveys | Qualified buyers under NDA |
| Legal | Leases, title report, estoppels | Shortlisted buyers |
The pattern is the same as other staged processes: the more sensitive the file, the fewer the people and the later the stage. Our commercial real estate data room page covers the product side.
How do you tier access?
Build one room with sections, then gate the sensitive ones. In one prompt:
"Create a data room called 123 Main Street Offering. Sections: Offering (Offering memorandum, Property brochure), Financials (Rent roll, Operating statements), Property (Floor plans, Environmental report), Legal (Leases, Title report). Require email verification, turn downloads off, expire on March 15, and show me the settings."
Then tighten:
"In 123 Main Street Offering, keep Offering open after an email check, and put Financials, Property and Legal behind an NDA."
Behind these, the assistant calls create_microsite, get_microsite and update_microsite with folder-level gating. NDA gates need the Pro plan.
How do you handle large drawings and reports?
CAD files and environmental reports are often too large to pass through a chat. Do not attach them. Ask instead:
"Give me an upload link for the CAD drawings, with downloads off on the resulting link."
The assistant creates a one-time browser upload link with your security settings pre-applied (request_document_upload), and then checks that the upload finished (check_document_upload). You upload from your own computer, and the file never has to travel through the chat.
How do you give each buyer a traceable link?
"Create a separate secure link to the Offering memorandum for each of Northgate Capital, Harbor Partners and Elm Street Investors. Label each, require email verification, downloads off."
Each call to create_secure_link makes a labelled link, so you can tell the buyers apart in the analytics. On the Business plan, add a dynamic watermark with the viewer's email and the date to a link so a leaked page points to a person. See dynamic watermarks and screenshot blocking.
Useful extras:
- A view cap for broker previews, for example 25 views on a brochure link.
- An email on each open, set when you create the link.
- Allowed domains, so a link opens only for people at one firm (Business plan).
How do you see which buyers are serious?
"For each buyer link, who opened it, for how long, and did they download?" "Who visited 123 Main Street Offering this week, and who returned?"
These use list_link_viewers and get_microsite_analytics. Returning visitors and extra colleagues from the same firm usually mean a buyer is circulating the package internally. Anonymous opens can include link previews and mail scanners, so lean on verified emails. Check any number in the dashboard before you act on it. The metrics are explained in document analytics.
How do you run to the bid deadline?
Late documents arrive. Keep the room current:
"Add the Phase I environmental update to the Property section."
On the deadline, expire everything:
"Set every active link for this property to expire on March 15."
That calls list_links and update_link_security for each. Better still, put the expiry in the prompt that creates each link. After the sale, ask the assistant to list and revoke every link. Revoking keeps the history. Deleting is permanent, and the assistant confirms the exact target first.
What does a marketing process look like in practice?
An illustrative example with made-up names, to show the rhythm rather than promise a result.
A broker is marketing a mid-sized office building with a bid deadline in five weeks. She asks the assistant for an offering room with the brochure open after an email check and Financials, Property and Legal behind an NDA, set to expire on the deadline. The CAD drawings are too large for the chat, so she asks for an upload link and uploads them from her desktop with downloads off.
She gives three prospective buyers each a labelled link to the offering memorandum, and adds a dynamic watermark on the link of the buyer who is most likely to forward it (Business plan). A week later she asks which buyers opened the memorandum and for how long. Two did, and one brought two colleagues.
When the environmental update arrives she asks the assistant to add it to the Property section. On the deadline the links expire as planned, and after the sale she asks for every link to be revoked.
What can the assistant not do?
- Read your leases. None of SendNow's 24 tools returns document text, so it cannot extract rents, expiries or options from a lease. It builds, secures and measures the room.
- Replace your counsel. Paste NDA wording from your attorney.
- Use settings your plan lacks. NDA gates and screenshot blocking need Pro; allowed domains and watermarks need Business.

Is a data room worth it for a single property?
If you are sharing financials and leases with several buyers, yes: you get controlled access, a record of who saw what, and a way to switch buyers off. The room is the same shape whether the property is one building or a portfolio.
Can the AI read the rent roll?
No. The assistant sees file names, room settings and analytics, not what is inside your files.
How do I share large CAD files?
Ask for a one-time upload link and upload from your own computer. Set downloads off on the resulting link.
How much does it cost?
You can connect on any plan. Data rooms start at $19/month, an NDA gate and screenshot blocking need Pro, and allowed domains and watermarks need Business. See pricing.
Where are the ready-made prompts?
In the real estate prompt pack: twelve prompts with the tool and plan for each. The prompt generator builds one from your own file names, and how to connect Claude and ChatGPT to a data room covers the setup. For a comparison with the incumbent, see SendNow vs DocSend.
