AI Proposal Tracking for Consultants and Agencies: One Buyer Room, Real Follow-Up (2026)

A proposal sent as an email attachment leaves you guessing: did they open it, did they forward it, who else saw the pricing? A buyer room fixes that. You put the proposal, proof, security material and plan into one tracked link, then ask Claude or ChatGPT who opened it and when to follow up. With SendNow connected to your assistant, you build the room, send the pricing alone if you want, get alerted on opens, and close the room when the deal ends. Data rooms start at $19/month, and you can connect the assistant on any plan.
AI Proposal Tracking for Consultants and Agencies: One Buyer Room, Real Follow-Up (2026)
Why do proposals sent as attachments disappear?
Gmail and Outlook report whether an email was opened, not whether the PDF inside it was. After you hit send you cannot tell if the buyer read the pricing, if the champion forwarded it to finance, or if it never left the inbox. A tracked link records the visit instead: who, how long, and whether they returned. The full explanation is in how to track if someone opened your PDF.
What goes in a proposal room?
Think about what a buyer needs to say yes without a call:
| Section | Files | Why it is there |
|---|---|---|
| Proposal | Proposal PDF, pricing sheet | The offer |
| Proof | Case studies, customer references | Reduce risk |
| Security | Security overview, compliance certificates | Answer procurement early |
| Implementation | Implementation plan, timeline | Show how it lands |
This is the buyer-room pattern behind digital sales room software and consulting proposal tracking. The aim is that your champion can forward one link to finance or legal and everything they need is behind it.
How do you build the room with Claude or ChatGPT?
Connect SendNow first (about two minutes; see the setup guide). Then:
"Create a data room called Acme Proposal. Sections: Proposal (Proposal PDF, Pricing sheet), Proof (Case studies, Customer references), Security (Security overview, Compliance certificates), Implementation (Implementation plan). Require email verification, turn downloads off, expire in 30 days, and show me the settings."
The assistant calls list_documents, create_microsite and get_microsite. A proposal usually does not need an NDA, so the example leaves it off. Add one if the pricing is sensitive and your plan includes it (Pro and above).
Two touches that suit a proposal:
"Add a button to the Acme Proposal room labelled 'Book a call' that links to https://example.com/book." "Set the room background to #0a0a0a and use this logo: https://example.com/logo.png."
Both use update_microsite.
How do you send the pricing on its own?
Sometimes the buyer asks for pricing before the full deck. Send it alone, with an alert:
"Create a secure link to the Pricing sheet for Dana at Acme. Require email verification, downloads off, and email me each time it is opened."
create_secure_link makes the link and turns on the email notification, so you know the moment it is opened.
How do you know when to follow up?
"Who has opened the Acme Proposal room, and how long did they spend?" "Did anyone new from Acme open the room this week? List the verified emails." "Which of my proposals were opened by more than one person?"
These use get_microsite_analytics, list_link_viewers and list_links. Read the pattern, not the single number:
- A first open means it landed.
- A new email from the same company means the champion shared it. That is a buying-committee signal.
- A return visit after a few days often means a decision is being discussed.
- An open and a quick exit tells you the first page did not hold them.
Ask for verified emails first; anonymous opens can include link previews and mail scanners. Time the follow-up to the signal, as covered in follow-up and sales proposal timing. Check any number in the dashboard before you quote it to the buyer.
How do you swap in a new version?
"Replace the Pricing sheet in Acme Proposal with 'Pricing sheet v2'."
The assistant reads the room (get_microsite) and updates it (update_microsite), so buyers always see the current file at the same link. That is the end of "which version did you send?".
How do you close the room when the deal ends?
"Revoke every active link for Acme and tell me which ones you switched off."
That calls list_links and revoke_link. Revoking switches access off and keeps the history. Deleting is permanent, and the assistant names the exact target and asks you to confirm.
What does a retainer proposal look like in practice?
An illustrative example with made-up names, to show the rhythm rather than promise a result.
A consultant is pitching a six-month retainer. She asks the assistant for a proposal room with the proposal, pricing, two case studies, a security overview and an implementation plan, email verification on, downloads off, expiring in 30 days. She adds a "Book a call" button, and she sends the link to her champion at the client.
Two days later she asks, "Did anyone new open the room this week?" A new verified email appears from the client's finance team: the champion has forwarded it. She sends a short note offering to walk finance through the pricing.
A week on, the client asks for a changed scope. She asks the assistant to replace the pricing sheet with v2 in the same room, so the link stays the same and nobody has an old version. When the client signs, she closes the room.
What can the assistant not do?
- Read or rewrite your proposal. None of SendNow's 24 tools returns document text, so it cannot summarize or edit the PDF. It builds, secures and measures the room.
- Decide when to call. It gives you the signals; the judgement is yours.
- Use settings your plan lacks. NDA gates need Pro. The assistant tells you when a setting is unavailable.

What is a buyer room?
A buyer room is one tracked link that holds everything a buyer needs to evaluate a deal: the proposal, proof, security material and plan. You see who opened it and when.
Is a proposal room better than a PDF attachment?
For anything you need to follow up on, yes. An attachment tells you nothing after you send it. A room tells you who opened it, how long they spent and whether new people joined.
Can the AI see my pricing?
No. The assistant sees file names, room settings and analytics, not the contents of your files.
How much does it cost?
You can connect on any plan. Data rooms start at $19/month, and NDA gates need Pro. See pricing.
Where are the ready-made prompts?
In the sales proposal prompt pack: twelve prompts with the tool and plan for each. The prompt generator builds one from your own files, and how to connect Claude and ChatGPT to a data room covers the setup.
